From Five Suppliers to One: How We Helped a US Buyer Streamline Their Party Supplies Supply Chain

Jul. 28, 2026

In late 2025, a California-based party supplies wholesaler reached out to us through a trade show connection. His company supplied small and medium-sized retailers and event planners across the Midwest with disposable tableware and decorations. He wanted to expand into birthday candles and themed party sets — but he kept hitting the same wall.

"I have talked to five different factories in China," he told us. "One can make candles but cannot do packaging. One can do packaging but cannot hold delivery dates. The one with stable delivery does not understand US compliance requirements. I need one partner who can do it all."

He was not wrong. The US party supplies market was valued at USD 4.2 billion in 2025, with the broader North American market expected to grow at over 9% CAGR through 2033. Retailers were expanding their party sections. Demand was rising. But for a mid-sized wholesaler, managing multiple suppliers across different product categories was becoming unmanageable.

His existing setup required him to coordinate five separate factories — one for candles, one for paper plates, one for decorations, one for packaging, and one for assembly. Each had different lead times, different quality standards, and different communication styles. One delayed shipment meant the entire bundle was held up. One quality issue meant the whole set looked inconsistent on the shelf.

He needed something simpler. He needed one supplier who could deliver the full package.

The Specific Problems

We broke his situation down into three distinct problems.

Problem one: sustainable packaging compliance.

His target retailer had updated its supplier packaging guidelines for 2026. The new rules required all shelf-ready packaging to meet recyclable content standards. His existing suppliers were using standard PVC blister packaging — which did not meet the new requirements. He needed PET recyclable material, plus documentation proving compliance. The retailer would not accept anything less.

This was not a small detail. California's SB 54 requires plastic packaging to reach a 30% recycling rate by 2028 and 65% by 2032. Retailers across the US were tightening their standards in response. Suppliers who could not provide compliant packaging were being cut from vendor lists.

Problem two: multi-category, multi-SKU coordination.

Each party set he wanted to sell contained four to six different product categories and five to eight individual SKUs. One set might include candles, plates, napkins, decorations, and a table cover. Coordinating five different factories to produce these items with consistent quality and on the same timeline was a logistical nightmare. One factory's delay cascaded through the entire supply chain.

Problem three: inconsistent quality across suppliers.

The candles from Factory A looked great. The plates from Factory B were fine on their own. But when you put them together in a single party set, the colors did not match. The gold on the candles was warmer than the gold on the plates. The packaging from Factory C did not fit the bundle size. The final product looked like it had been assembled from five different sources — because it had.

His retail buyers noticed. They told him directly: "This does not look like a cohesive product line. It looks like you put random items together." That feedback cost him two retail accounts in 2025.

Our Solution

We did not offer him one product. We offered him a system.

First, we consolidated packaging materials.

We replaced the PVC blister packaging on his candle sets with PET recyclable material. The switch maintained the same clarity and product visibility while meeting the retailer's recyclability requirements. We also provided full documentation — material test reports, recyclability certificates, and supplier compliance declarations.

Second, we integrated multi-category production across our two factories.

Our Xingtai factory handled candle production — gold and silver spiral candles, number candles 0 through 9. Our Shijiazhuang factory handled paper products — plates, napkins, and decorative items. Both factories operated on the same production schedule, the same quality standards, and the same delivery timeline. Instead of managing five factories, he managed one point of contact who coordinated everything internally.

Third, we established consistent quality standards across all categories.

We color-matched the gold on the candles to the gold on the plates. We designed the packaging to fit the exact bundle size, eliminating waste and reducing shipping volume. We ran quality checks at every stage — from raw materials to finished products — ensuring that every item in the bundle met the same standard.

Fourth, we provided a single shipping solution.

Instead of receiving five separate shipments from five different factories, he received one consolidated 40HQ container. All items arrived together, ready for retail distribution. He did not need to assemble or repack anything at his warehouse. The product arrived shelf-ready.

The Result

The buyer passed his retailer's compliance review with full documentation. His party sets went through the approval process and received shelf placement in the retailer's stores across five Midwest states.

Within three months, the initial test order of 5,000 units sold through at a rate 20% faster than the retailer's category average. The buyer placed a second order for 20,000 units, expanded to three new party set designs, and added a holiday-themed collection for the upcoming Christmas season.

He told us: "I went from managing five factories to managing one relationship. The time I used to spend on coordination is now spent on selling. And my retail buyers are telling me the product looks like it belongs on the shelf — not like it was assembled from five different sources."

He also mentioned that his coordination costs had dropped significantly. He no longer needed to chase five different factories for production updates, quality reports, and shipping documents. One point of contact handled everything. The time savings alone justified the switch.

What This Means for Buyers

This case highlights a shift that many buyers are experiencing: the party supplies category is moving from single-product sourcing to full-set sourcing.

Retail buyers are increasingly looking for cohesive product lines, not individual items. A party set that includes candles, plates, and decorations with matching colors and consistent quality sells better than a collection of unrelated items. Retailers are responding by consolidating their supplier lists — they want fewer suppliers who can do more, not more suppliers who can do one thing.

For buyers sourcing from China, this means the evaluation criteria are changing. Price and quality are still important. But the ability to coordinate multiple categories, maintain consistent standards across different product types, and deliver a complete package is becoming the differentiator.

The buyer in this case started with a simple question: who can do it all? He found that the answer was not a single product category. It was a supply system.
